Site Search, Inc. ("Company," "we," "us," or "our") respects your privacy and is committed to protecting personal information. This Privacy Policy explains how we collect, use, disclose, retain, and protect personal information when you visit our website, use our products or services, communicate with us, or otherwise interact with us.

This Policy is intended to apply to our activities in the United States, including California, and includes the disclosures required by the California Consumer Privacy Act as amended by the California Privacy Rights Act ("CCPA"). It applies to Site Search, Inc.'s website(s) at https://www.sitesearch.co, our sales and support phone lines, SMS/text communications, and related services (collectively, the "Services").

If you use our telephone, voice, messaging, or SMS communications, including services provided through Aircall, additional information about that data appears in Sections 1(C), 5, 6, and the Notice at Collection below.

 

1. Personal Information We Collect

A. Information you provide directly

  • Name, email address, postal address, phone number, account username, company name, business title

  • Account credentials

  • Billing and payment information

  • Content of inquiries, support tickets, and correspondence

B. Information collected automatically

  • IP address, browser type, device type, operating system, referring/exit pages, pages viewed, links clicked

  • Approximate location derived from IP address

  • Cookies and similar tracking technologies (see Section 4)

  • Dates, times, and usage patterns on the website

 

Call, SMS, and voicemail data (via Aircall)

We use Aircall, a cloud-based business phone and call-center platform, to make and receive calls and text messages with customers and prospects. Through Aircall, depending on which features are enabled on our account, we may collect and process:

  • Inbound and outbound phone numbers, call metadata (date, time, duration, outcome, agent, routing/queue data)

  • Call recordings and voicemail recordings (audio), where recording is enabled

  • Voicemail and call transcriptions, including AI-generated call summaries, sentiment/topic analysis, and agent talk-ratio or similar conversation-intelligence metrics, if enabled.

  • SMS/text message content and metadata sent or received through our business number

  • Interaction notes or tags logged by our team in connection with a call

 

Call Recording Notice: Calls to or from Site Search, Inc. may be recorded or monitored for quality assurance, training, and business purposes, and may be processed by automated/AI tools for transcription or analysis. Where required by law, we will provide notice at the start of the call (verbally or via an automated disclosure/IVR tone). In two-party/all-party consent jurisdictions such as California, we will not proceed with recording unless we obtain actual consent from all parties — continuing on the line after a disclosure is not, by itself, treated as sufficient consent in this policy. If you do not wish to be recorded, please advise the representative at the start of the call or contact us using a non-recorded channel.

D. Information from third parties

  • CRM, marketing automation, or lead-generation partners

  • Your employer or organization, where applicable

  • Publicly available sources

  • Aircall integration data synced with our CRM/helpdesk tools

E. Sensitive Personal Information

Depending on the services you use, we may receive information that could constitute "Sensitive Personal Information" under California law — for example, account login credentials, or, to the extent voice recordings are interpreted as containing voiceprint-adjacent data, certain call/communications content. We do not use Sensitive Personal Information for purposes beyond those disclosed in this Policy, and you have the right to limit such use — see Section 8.

F. Inferences

We may derive inferences from the information above, such as service preferences or likely interests, to personalize and improve support and service delivery.

 

2. Sources of Personal Information

We collect personal information from: you directly; your employer or organization, where applicable; your devices and browsers; our telephony provider (Aircall) during calls/texts; service providers and contractors; business partners; publicly available sources; and other sources as permitted by law.

3. How We Use Personal Information

We use personal information to:

  • Provide, operate, maintain, and improve the Services, including creating and administering accounts

  • Process purchases, subscriptions, payments, and transactions

  • Provide customer service and technical support, and route calls/texts appropriately

  • Record and review calls for quality assurance, training, and dispute resolution

  • Communicate with you about your account, transactions, and administrative or security matters

  • Send marketing communications where permitted by law and consistent with your preferences

  • Detect, investigate, and prevent fraud, abuse, and security incidents

  • Perform analytics, debugging, and internal research to improve the Services

  • Comply with legal, regulatory, tax, and telecommunications obligations

  • Establish, exercise, or defend legal claims

 

We will not use personal information for materially different purposes without providing notice or obtaining consent where required by law.

4. Cookies and Similar Technologies

We use cookies, pixels, tags, SDKs, local storage, and similar technologies to operate the website, remember preferences, measure usage, and (if applicable) measure advertising effectiveness. You can manage preferences via your browser settings; where required by law, we will honor opt-out preferences for non-essential cookies.

5. Telephone, Voice, and Communications Data (Aircall)

We use Aircall and, where applicable, related communications infrastructure providers, to deliver telephone, voice, SMS, and related communications functionality. Information handled through this channel may include phone numbers, call metadata, routing information, message content, recordings, transcriptions, and voicemail data, as described in Section 1(C).

Aircall processes this information on our behalf as a Service Provider/Processor under our data processing agreement with Aircall.  Aircall may also independently process certain information for its own purposes as a controller (e.g., account administration for its own service); those activities are governed by Aircall's own privacy policy, not this one.

Mobile/SMS information. We do not sell or share mobile telephone numbers, SMS opt-in information, or SMS consent information with third parties or affiliates for their own marketing or promotional purposes. Text-messaging opt-in data and consent will not be shared with third parties for marketing purposes. Information may be disclosed to service providers solely as reasonably necessary to provide communications, support, compliance, or security services on our behalf.

6. Call Recording and AI Transcription

Where call recording or AI transcription/analysis is enabled, calls may be recorded, transcribed, summarized, or otherwise processed for: providing and maintaining communications services; quality assurance and training; customer service and documentation; security and fraud prevention; compliance; and service improvement. We will provide notice and obtain consent consistent with Section 1(C) above. You should avoid sharing sensitive or confidential information during a recorded communication unless authorized to do so.

 7. How We Disclose Personal Information

We may disclose personal information to:

Purpose: Cloud telephony, call recording, transcription, SMS

Recipient: CRM / helpdesk providers

Purpose: Syncing call and contact records

Recipient: Hosting, analytics, and IT service providers

Purpose: Operating the website and Services

Recipient: Payment processors

Purpose: Billing

Recipient: Professional advisors, auditors, regulators

Purpose: Legal compliance

Recipient: Government authorities / law enforcement

Purpose: Where legally required

Recipient: Successors in a merger, acquisition, or asset sale

Purpose: Business continuity

 

8. Sale and Sharing of Personal Information

We do not sell personal information for monetary or other consideration.

No Cross-Context Behavioral Advertising: We do not "share" personal information for cross-context behavioral advertising as defined under the CCPA.

Regardless of the above, we do not sell or share mobile telephone numbers, SMS opt-in information, or SMS consent information for marketing or promotional purposes (see Section 5).

9. Your California Privacy Rights (CCPA)

If you are a California resident, subject to applicable exceptions, you have the right to:

  1. Right to Know — request disclosure of the categories and specific pieces of personal information we've collected, used, disclosed, and (if applicable) sold/shared, over the past 12 months.

  2. Right to Delete — request deletion of personal information we collected from you, subject to certain exceptions.

  3. Right to Correct — request correction of inaccurate personal information.

  4. Right to Opt-Out of Sale/Sharing — see Section 10.

  5. Right to Limit Use of Sensitive Personal Information — request that we limit use of Sensitive Personal Information to purposes necessary to provide the Services.

  6. Right to Opt Out of Automated Decision-Making — to the extent applicable law provides a right to opt out of certain automated decision-making or profiling, we will provide the applicable mechanism.

  7. Right to Non-Discrimination — we will not deny goods/services, charge different prices, or provide a different level of service because you exercised a CCPA right.

  8. Right to Appeal — if we deny your request, you may appeal by contacting us at privacy@sitesearch.co.

How to Submit a Request:

You do not need to create an account to submit a request. You may designate an authorized agent, subject to our ability to verify the agent's authority and your identity. Requests involving call recordings or voicemail tied to a phone number may require additional identity verification to confirm the requester matches the account/caller history before we release or delete that data.

We will respond within 45 days, extendable by an additional 45 days with notice to you where permitted by law.

10. Do Not Sell or Share My Personal Information

You may opt out of the sale of your personal information at any time by contacting us at privacy@sitesearch.co.

11. Data Retention

We retain personal information, including call recordings, transcripts, and SMS content, for as long as reasonably necessary to fulfill the purposes in this Policy, including:

  • Call recordings: 30 days, unless retained longer for a legal hold, dispute, or training archive

  • Contact and CRM records: for the duration of the business relationship plus 2 years.

  • Billing records: as required by tax and accounting law

Retention periods within Aircall are configurable at the account level. Where feasible, we delete or de-identify personal information once it is no longer reasonably necessary for the purposes for which it was collected.

12. Data Security

We maintain administrative, technical, and physical safeguards designed to protect personal information, including encryption in transit and at rest where applicable, access controls, and vendor security review (including review of Aircall's SOC 2 report or equivalent security documentation). No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

13. International Data Transfers

Aircall and certain other vendors may process or store data outside the United States, including in the European Union. Where this occurs, we require appropriate contractual safeguards consistent with applicable law.

14. Children's Privacy

The Services are not intended to be used by children, and we do not knowingly collect any personal information about children. If you are the parent or guardian of a child who has provided us with their personal information, you may contact us using the contact details set out below to request that it be deleted.

15. Third-Party Websites and Services

Our website may link to third-party sites or services. We are not responsible for their privacy practices and encourage you to review their policies before providing personal information.

 

16. Changes to This Policy

We may update this Policy periodically. Material changes will be posted here with an updated "Last Updated" date, and where required by law, we will provide additional notice.
